SUMMARY: This position is located at the front desk in the AHS Main Office and is responsible for traditional school registrar duties and staffing the front office.
Maintains student records and transcripts according to school and state guidelines.
Assists with administration, coordination, and communication of student enrollment and the registration process, including student scheduling.
Responsible for accurate input and tracking of student database information and filing of related reports.
Greets visitors, fields student, family and staff requests, answers the phone, and responds to voicemail/email messages.
Manages student attendance. Organizes catered lunch program by collaborating with local restaurants/vendors.
Collaborates with Durango 9R School District to coordinate bus service for students.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

-Maintains, monitors, and manages accurate student information in the system (currently Infinite Campus or IC) according to federal and state laws and Colorado Charter School Institute policies and procedures.
Adds new students, withdraws students, and keeps personal information updated (parent/guardian, address, phone numbers, emergency contacts, etc.).
Prepares reports, both internal and external, such as October count, end-of-year state reporting, and other CSI/CDE reports as needed.
-Coordinates student enrollment process by obtaining and tracking required records, (school records, birth certificates, health forms, etc.).
-Creates student schedules and assists in building the Master Schedule by inputting student course requests into the student information system, analyzing conflicts, and using tools within the software.
Ensures each student has an appropriate schedule each semester and makes changes to schedules as necessary.
-Conducts academic advising for students.
Reviews transcripts and current course selection annually to confirm all students are on track to graduate.
Meets with students who are not on track, clarifies requirements, and supports them in choosing appropriate courses.
-Manages online summer school credit remediation program.
-Manages requests from students, families, and staff in person at the front desk, by email, and by phone.
-Monitors and reports student attendance using the student information system.
-Communicates daily with parent lunch volunteers and local restaurants who serve as catered lunch program vendors.
Monitors all vendor order forms in Google.
Performs data entry and runs reports for TITAN School Solutions information system.
Collects any lunch payments made at the front desk and applies money to accounts in IC.
Assists families in filling out Free and Reduced Meal applications.
-Enters student fees (catered lunch, field trips, etc.)
into IC, collects payments and posts in IC when payment is received from families.
-Communicates with Durango 9R Bus Barn to coordinate school transportation including daily bus service and transportation for field trips.
-Assists with emergency drills.
-Makes calls home when students are sick or injured and assists with minor illnesses and injuries.
Works with training from the school nurse to handle emergencies with students with special conditions, like epilepsy and diabetes.
-Other Registrar and Front Office duties as assigned
EDUCATION AND TRAINING: High School diploma or equivalent
EXPERIENCE: Minimum of 2 years experience in a clerical support position.
Registrar experience preferred. Experience working with high school aged students preferred.
CERTIFICATES, LICENSES, AND REGISTRATIONS: Criminal background check required for hire.
CPR and First Aid training preferred at hire, required annually, and offered to AHS employees at the beginning of the school year

MATERIALS AND EQUIPMENT OPERATING KNOWLEDGE:
-Operating knowledge and experience with personal computers
-Operating knowledge of and experience with Google Suite tools, especially email, docs, and sheets.
-Operating knowledge and experience with typical office equipment, such as telephones, copier, and email
Pay based on experience. For every outside year of related experience, .5 steps will be counted.
For example, a person with four years of related office experience, would start at Step 2 on the salary schedule and then move one step per year at AHS.
