Administrative Assistant
Position Summary: The UPS Administrative Assistant provides administrative support to the projects and operations. Reporting Status: The position reports to the Controller.
Supervisory Responsibility: None Responsibilities & Accountabilities: • Provides administrative support to the operations, management, and accounting teams as required. • Perform contract administration duties when required. • Data entry of employee and job information into the time tracking system. • Routes incoming mail and prepares outgoing mail, files correspondence and other records, schedules appointments, arranges travel schedules and reservations, copies correspondence or other printed matters, and compiles and types statistical reports. • Provides administrative support for personnel hiring, pre-employment medicals, background checks, maintains personnel and training records, reporting maintenance, and termination of personnel in assigned areas. • Correspond and verbally communicate professionally with vendors and other UPS/Canyon personnel. • Professionally represent UPS and Canyon, with a high degree of respect for all existing and potential customers. • General office duties such as answering phones, filing paperwork, and maintaining a tidy workspace and keeping the front clean • Other duties as assigned.

Education and/or Experience: Proficient in all Microsoft Office applications including Word, Excel, and Outlook. Ability to prioritize and organize many diverse tasks at once
Language Skills: Ability to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to clearly communicate with vendors, customers, and colleagues.
Reasoning Skills: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Work Environment: In performing the duties for this job, the employee will generally work in an office-type environment. The noise level is usually low.
Computer-Based: Ability to work with spreadsheets, databases, and other software. Ability to learn new applications quickly. Strong Microsoft Office skills (Excel, Word, Outlook, Project Teams, PowerPoint).
Salary: $40,000 - $50,000 annually depending on experience.
