Counseling Center Fort Lewis College Durango, Colorado Position Summary The office manager position will facilitate general office management, assist students, compile data, manage billing & budget, generate reports, and provide general administrative assistance to the Director as needed. The position reports to the Director of the Counseling Center. The Counseling Center offers individual counseling, group therapy, psychiatric consultations, and behavioral assessments. We offer consultations with faculty, staff, and families. Fort Lewis College Counseling Center can also make referrals to off campus resources and provides mental health outreach on campus and in the community.
Minimum Qualifications: • Three (3) or more years of office management experience or equivalent education and experience • Demonstrated ability to multi-task, prioritize, remain organized, and accomplish tasks in a way that is detail-oriented and ensures quality of work • Possess self-initiative and teamwork/cooperative skills • Superior verbal and written communication skills • Strong customer service orientation with sensitivity to the needs of others while exercising utmost confidentiality • Experience with computerized scheduling, data management, Outlook, Microsoft Word and Excel, and an ability to learn college computer applications • Capacity and willingness to receive and respond to direction and feedback from multiple team members and uphold a growth mindset • Ability to work within and embrace a departmental culture grounded in values of belonging, transparency, sustainability, and teamwork • A demonstrated commitment to diversity, equity, inclusion, and student success, as well as working with broadly diverse communities
Preferred Qualifications: • One or more year of experience in an educational and/or counseling related field • Comfortable communicating with others who may be in emotional distress • Ability to screen symptoms of clients in crisis situations and prioritize need based on such screening • Effective interpersonal skills and the ability to collaborate with and respond to multiple constituencies both at the college and in the community • Demonstrated extensive involvement with, and understanding of Native American, Black, Latinx, veteran, Asian & Pacific Islander, and/or LGBTQIA+ communities • Ability and willingness to contribute to a team-oriented work environment • Demonstrated abilities in leadership, openness and flexibility • Personal skills of stress tolerance, non-defensiveness and ability to receive and respond to feedback • Budget reconciliation and management Major Responsibilities • Answer phone, greet customers, and schedule client appointments • Take messages for counselors and convey customer concerns in an appropriate and timely manner • Consult by phone or in person with parents, faculty, and students to determine what help they need and route their call accordingly • Thorough questioning, observation, and intuition to determine how soon a client needs to be seen and the best counselor for the client • Complete weekly billing • Work directly with Director and collaborate with staff regarding students and office processes • Collaborate effectively with campus partners & consultants including the Health Center, medication specialist and Housing • Provide computer assistance for counselors, and work with IT on electronic record system updates • Operate the electronic scheduling program (Titanium) to include category management, counselor’s daily schedules, and train staff & interns on new features, etc. on a regular basis • Record program expenditures accurately in internal program budget ledger (Excel spreadsheet) • Reconcile monthly and year-end budget reports • Prioritize schedules and deadlines to ensure that client and staff needs and other position duties are properly completed • Manage the schedule and contact of students for the medication specialist • Manage the scheduling, spreadsheet, and other necessary paperwork for Behavior Assessments • Generate the data obtained from the scheduling program and enter data in annual report • General office management to include; generating forms, ordering supplies, making travel arrangements, submitting budget and payment forms, and billing and budget reconciliation, and the yearly contracts for the medication specialist and psychiatrist • Receive feedback and demonstrate willingness to learn and grow • Maintain confidentiality in all interactions • Maintain client information according to state ethical guidelines • Demonstrates a commitment to diversity, equity, inclusion, and student success, as well as working with broadly diverse communities • Maintains knowledge and awareness of digital accessibility including the American with Disabilities Act and Section 508. • Produces and remediates digitally accessible materials in accordance with FLC standards. • Perform other duties as assigned

Compensation Salary is $35,000 for plus a comprehensive benefits package this position is 40 hours per week for 9 months (Mid-August to Mid-May), then 20 hours per week for 3 months (Mid- May to Mid-August)
